Is the conference located at the Hyatt Regency Mission Bay?
Yes, the entire conference agenda will take place at the Hyatt Regency Mission Bay. Please note that the conference registration does not include accommodations.

How much does the hotel cost?
HealthCare ChaplaincyTM has arranged a special rate for our conference attendees. To see the cost and other relevant details please visit our venue page here. Early Bird Hotel Rate $179 through March 14, 2016.

Must I stay at the hotel to attend the conference?
No, we are suggesting these hotel accommodations for your convenience. You are free to make independent arrangements for your lodging separate from the conference registration.

Can HCCN offer a roommate referral service if we stay at the hotel?
We do not offer this service. If you would like to communicate with conference attendees, you may do so through social media.

Do you know of other hotels in the area?

What airport should I use?
The nearest airport is the San Diego International Airport. Located apx 15min from our venue.

 

Meals and Dietary Restrictions

Does the conference registration include meals?
The full conference registration includes breakfast and lunch for all three days.

  • Do you offer kosher meals?
    Yes, kosher meals are offered at $45.00 per meal and may be purchased during the registration process. The hotel can provide breakfast and lunch for this meal option.
  • Do you offer halal meals?
    Yes, halal meals are offered at $45.00 per meal and may be purchased during the registration process. The hotel can only provide lunch for this meal option.
  • Do you offer vegetation meals?
    Yes, vegetarian meals are provided at no additional cost but must be indicated during the registration process. The hotel can provide breakfast and lunch for this meal option. If you already registered and did not request a vegetation meal please update your record here.
  • What do I do if I have food allergies or require a special diet not listed?

CEU and Certificate of Attendance

Will I receive a certificate of attendance?
Yes, all attendees will receive a certificate of attendance, certificates will be emailed after the conference.

How many continuing education units (CEU) does the conference provide?
The conference qualifies for 17 Continuing Education Units.

How many CME credits are available for the conference?
This activity has been planned and implemented in accordance with the Essential Areas and Policies of the Accreditation Council for Continuing Medical Education (ACCME) through the joint sponsorship of the University of Alabama School of Medicine (UASOM) and the HealthCare Chaplaincy Network. The UASOM is accredited by the ACCME to provide continuing medical education for physicians.

The University of Alabama School of Medicine designates this live activity for a maximum of 17 AMA PRA Category 1 Credits™. Physicians should claim only the credit commensurate with the extent of their participation in the activity.

Can you tell me if the CEU's are free of charge with registration of a site?
There are no extra charges to apply for conference CEU's.

Will virtual participants qualify for CEU's for the single $800 fee?
All registered conference participants are eligible to individually apply for CEU's for no extra fee.

Will my accreditating agency accept the conference CEU credits?
Acceptance of CEU credits is up to your individual accrediting agency. Many state boards accept offerings approved by national or other state organizations. Please check with your own professional licensing board to determine whether our offering will be accepted.

 

Scholarships and Discounts

Are there scholarships or discounts offered for special sectors (i.e., CPE students, nurses)?
At this time, there are no scholarships. Discounts are available to chaplains and groups as listed on the main page. CPE students may use the Chaplain rate for discount purposes.

Is there a group discount rate?
Group discounts are available with 7% off for both Chaplains and Non-Chaplains. Groups are defined as two or more from one institution when purchased at the same time.

 

Webcast

What requirements are needed on our end to participate in the conference virtually via Webcast?
Technical Requirements to View Stream:

  • Computer, Tablet or Phone with at least a dual-core processor
  • Download speed of at least 2Mbps (att.com/speedtest)
  • Any modern browser, ideally Chrome or Firefox
  • Offices need firewall port 1935 open (RTMP)
  • No software installations will be required.

Will documents, slides, and PowerPoint presentations be available to virtual attendees?
Virtual attendees will have access to a live stream of all three days of the plenary and keynote addresses and registered workshops in their entirety, as well as access to handouts.

Will virtual attendees be able to engage with presenters?
Yes, we will have a “text your question” phone number that could be used to engage with presenters.

Can multiple sites access the webcast using the same access code?
No. There is one webcast license per site However, the webcast license does permit an unlimited number people to view the conference per site.

 

Content & Video Recording

Where do I find workshop detailed descriptions?
Detailed descriptions for all workshops, plenary and the keynote can be found in the conference brochure, downloadable here.

Will I have access to see the video recording?
Yes, every participant will receive a code to view ALL video presentations regardless of which you may have registered for.

Do you provide copies of the slides?
Copies are provided via the conference app during the conference and via a secure link after the conference for your convenience.

 

Registration

Is there Walk-in in or day-of registration?
Walk-In or Day-of registration will be available however no discounted rated will be available.

What if I only want to attend for one day?
We have single day tickets available. Single day tickets include all activities for the day selected including breakfast and lunch.

Can I get a refund?
We will refund registration fees minus $75 cancellation fee until March 28, 2016. There will be no refunds after that date.

I will be arriving on Sunday, can I start my registration then?
Yes, we will have a pre-registration booth open from 3:00 – 5:00 PM on Sunday at our venue.

 

Optional Activities

Are there other activities besides the workshops?
Yes, there will be a President’s Reception on opening day, scientific poster session, exhibitors hall, optional prayers services and a chapel available for private meditation and prayer.

What local attractions are there?
Pool (On-site), San Diego Zoo (apx. 15min from venue), Balboa Park ( apx, 10min from venue), Sea World (apx. 10min from venue), La Jolla Wine Tours (apx 20min from venue) Legoland California (apx 40min from venue) and many more. Note: Times are calculated by car.

 

Call for Posters

What information must I provide to be considered for the poster session?
Title, Problem, Action Taken, Outcomes/Data, Institution, Contact email and telephone information.

I presented my poster at another conference, could I still be considered for this conference?
Yes, you will still be considered.

What is the deadline for poster submission?
Abstract submissions will be reviewed on a rolling basis until March 11, 2016

Do I have to be at the conference to present my poster?
If you choose to display a poster at the Annual Conference, you must be registered and are responsible for your own travel and hotel accommodations.

Will I have an opportunity to speak to conference attendees about my poster?
Yes, we have 2 formal poster sessions scheduled for Tuesday and Wednesday.

What is the deadline for poster submission?
Abstract submissions will be reviewed on a rolling basis until March 11, 2016

 

Renewal Ceremony

I already registered for the conference do I need register for the renewal ceremony as well?
No, the renewal ceremony is already included in your ticket.
